Discovery that drives real results

We immerse ourselves in your operations before writing a single line of code. The result: solutions built on reality, not assumptions.

Three phases. One partnership.

From first conversation to deployed solution, here's how we work together.

01
Deep Discovery

Audit

On-site immersion in your workflows, systems, and team dynamics to understand how work actually happens.

02
Strategic Planning

Roadmap

A prioritized, phased plan with clear scope boundaries, quick wins identified, and measurable outcomes.

03
Development Partnership

Build

Collaborative development with tight feedback loops, weekly sessions, and solutions your team wants to use.

The evaluation workflow

A proven process for organizations with complex workflows, multiple systems, and field-to-office handoffs. We evaluate real-world operations, not idealized ones.

Step 1

Discover

  • Align on goals across leadership, operations, finance, and field teams (reduce misalignment early)
  • Inventory current tools and artifacts (ERP/CRM, shared drives, spreadsheets, PDFs, email workflows)
  • Capture constraints: compliance requirements, auditability, offline realities, and timeline pressure
Step 2

Map Current State

  • Map how work moves end-to-end: intake → qualification → opportunity/bid → execution handoff → purchasing/materials → billing/reporting
  • Identify where duplicate entry happens across systems and where handoffs rely on email/spreadsheets
  • Document critical identifiers used in the business (job numbers, project IDs, customer/account IDs) and where they break down
Step 3

Validate with Users

  • Run scenario walkthroughs with end users (office + field) using real examples, not idealized processes
  • Capture edge cases that derail automation (missing info, incomplete forms, late submissions, exceptions)
  • Confirm what must be auditable: approvals, acknowledgements, training records, safety artifacts, and status visibility
Step 4

Identify Gaps

  • Pinpoint manual bottlenecks (re-keying data, chasing missing fields, sorting documents by job/project)
  • Identify visibility gaps: where leadership cannot quickly answer "what's the status, what's missing, what's expired"
  • Surface risk areas: lack of acknowledgement tracking, inconsistent naming/filing, missing confirmations, and delayed submissions
Step 5

Prioritize

  • Score initiatives using impact vs effort plus operational disruption (avoid big-bang failure)
  • Sequence based on dependencies (e.g., definitions first: lead/account/activity/opportunity; then system integration)
  • Separate quick wins (status dashboards, standardized intake, tracking) from foundational work (data model, system-of-record, integrations)
Step 6

Roadmap

  • Produce a phased plan (Now / Next / Later) with scope boundaries and measurable outcomes per phase
  • Define implementation approach: CRM front end + ERP integration, workflow automation, reporting, and governance
  • Establish delivery cadence and collaboration: weekly working sessions + shared project hub + decision log

Transparent investment

Clarity from day one. Here's how our engagement works.

01

Audit Investment

The comprehensive audit requires a modest upfront investment to cover our team's time on-site and analysis work.

02

Rolled Into Development

If you choose to move forward with our proposed solution, a portion of the audit cost is credited toward your first monthly bill. You're only paying for discovery if you decide not to proceed.

03

No Obligation

After the audit and roadmap presentation, the decision is entirely yours. No pressure, just clear insights to help you make the right choice for your business.
